Messages - Voicemails, Texts, Chats, and eFaxes

Messages is the default screen shown when you first sign-in to the TeleConsole. You can also access it from the TeleConsole's menu.



There are five tabs in Messages - ALL, VOICEMAIL, CHAT, SMS, FAX.

Chat messages are for inside contacts - on the internal PBX system lines.


SMS messages are for outside mobile phone numbers - they require you to have an SMS number setup. In this sense, an employee in your company with his own business mobile number is considered an outside contact.



ALL

Here you will see all your voicemails, eFaxes, chats, and SMS messages displayed in one list.

We will discuss the details of each in the sections below.

Tap the Plus icon at the bottom right to display icons for sending a new fax, sending a new text, starting a new chat, or making a new call. These, as well, will be covered in the sections below.




VOICEMAIL

Here you see your voicemails sorted in chronological order.



Making calls

Tap the Dialer icon  on the bottom right to go to the Call Out screen. See more information about making calls
here.


Deleting

To delete a voicemail tap and hold it. You will be prompted to approve the deletion.


The voicemail window

To listen to a voicemail tap it and a preview window will open.



  • Tap the play icon to play or pause the message.


  • Tap the phone icon, on the bottom left, to make a call to the person who left you the message - his number will be automatically dialed.


  • Tap the phone icon, on the bottom middle, to send an SMS message to the person who left you the message - his number will be automatically entered as the recipient of the message.


  • Tap the document icon, on the bottom right, to send a fax to the person who left you the message - his number will be automatically entered as the recipient of the fax.


  • Tap the menu icon on the top right to see Contact Info for the person who left the message, Download an MP3 file of the message, or Delete the message.


    If the contact already exists it will just be displayed, otherwise you will be prompted to Create New Contact or Add to Existing. If creating a new contact you can either add it to your phone's contacts or to the Teleconsole's.

CHAT

Here you see your chat conversations sorted in chronological order.


As mentioned before, chats are for internal contacts.




Starting a new chat

Tap the Chat icon to start a new chat. Then select a company contact from the list or start typing a name to find a company contact (suitable matches will be continuously shown as you type).

The chat window will open and you can start writing your chat message.

Make note however of the status of the contact:

  • Available - The contact will receive your message instantly.

  • Offline -The contact will receive your message only when the sign-in to the TeleConsole.

  • Do not Disturb - The contact is asking not to be communicated with. This is only relevant for phone calls - which will go directly to his mailbox. He will still get your chat message if you send him one.



Deleting


To delete a voicemail tap and hold it. You will be prompted to approve the deletion.




The Chat Screen

Tap any existing chat message to open and preview the conversation history. The chat screen is very straightforward. Messages from yourself are in white bubbles and from the contact in yellow.



  • The magnifying glass icon allows you to search and find words and phrases within the chat.



  • From the menu on the top right you can either get the Contact Info or Delete the chat.

    Contact info contains phone numbers and email address. Unlike external contacts, you don't have a choice to create a new contact, since by nature company contacts are created by the system administrator.


SMS

Here you see your SMS messages sorted in chronological order.


As mentioned before, SMS messages are exchanged with external numbers - on their mobile devices.




Starting a new SMS

Tap the SMS icon to start a new chat.

Enter the recipient's details - either enter a phone number or start typing a name - suitable matches will display as you type. You will see both TeleConsole contacts (if they have a mobile business number) and contacts from your phone.

Before sending the SMS message you can select among the different business SMS lines you have in your TeleConsole account. Tap the Arrow icon on the top right corner, radio-check the desired line, and tap 
Select.


Deleting


To delete a voicemail tap and hold it. You will be prompted to approve the deletion.



The SMS screen

Tap any existing SMS message to open and preview the conversation history. The sms screen is very straight forward. Messages from yourself are in white bubbles and from the contact in pink.



  • The magnifying glass icon allows you to search and find words and phrases within the sms conversation.

  • From the menu on the top right you can either get the Contact Info (phone number, email, and company) or Delete the chat.

    If the contact already exists it will just be displayed, otherwise you will be prompted to Create New Contact or Add to Existing. If creating a new contact you can either add it to your phone's contacts or to the Teleconsole's.

FAX

Here you see all the eFaxes you sent and received.



Sending a new fax

Tap the Fax icon to send a new fax.

Before sending the fax you can select among the different business fax lines available in your TeleConsole account. Tap the Arrow icon on the top right corner, radio-check the desired line, and tap Select.





Enter the recipient's details - either enter a phone number or start typing a name - suitable matches will display as you type.


Tap upload file.  A menu with your local and cloud drives will be shown. Navigate and select the file to be faxed.

Note that if you store your files on a specific local directory, you may need to have a file explorer app installed to access it. In the example shown here the popular ES File Explorer is used, but you can find many file explorers to your liking in the Google Play Store.


Deleting


To delete a voicemail tap and hold it. You will be prompted to approve the deletion.




The FAX Screen

Tap any existing FAX message to open and preview it.



  • Tap the cloud icon to download the fax. You can then open it in any external app that supports the file format of the fax (usually a PDF viewer).


  • Tap the phone icon, on the bottom left, to make a call to the person who left you the message - his number will be automatically dialed.


  • Tap the phone icon, on the bottom middle, to send an SMS message to the person who left you the message - his number will be automatically entered as the recepient of the message.


  • Tap the document icon, on the botom right, to send a fax to the person who left you the message - his number will be automatically entered as the recepient of the fax.


  • Tap the menu icon, on the top right, to see Contact Info for the person who left the message, Download an fax, or Delete the fax.

    If the contact already exists it will just be displayed, otherwise you will be prompted to Create New Contact or Add to Existing. If creating a new contact you can either add it to your phone's contacts or to the Teleconsole's.
