Messages – Voicemails, Texts (SMS/MMS), and eFaxes

Overview


Messages is the default screen shown when you first sign-in to the TeleConsole. Here you can see a summary of all your voicemails, eFaxes, and text (SMS/MMS) messages. Each can be tapped to access its content and additional related options. You can also send a new text or a new fax.


Access the screen at any time by tapping  .

Note that voicemail messages (as well as PIN and greeting options for the mailbox) can also be accessed by dialling *1 on the dial pad. See more information here


New messages are displayed in blue. Messages you have already viewed or read are displayed in gray. The screen is refreshed with new messages when as they are received in your TeleConsole account. This may take a few moments sometimes, but you can also manually refresh by swiping down anywhere on the screen. A   icon will show on the top and any new messages will be instantly fetched from the Telebroad server.


Tap   (search) and type any number or name followed by    on your virtual keyboard (or Return or Enter if you have a physical keyboard paired with your device) to display relevant records.


By default all types of messages are shown on the screen. Tap     on the top-right to select to show either All Messages or to just show Fax messages, SMS Messages, or Voicemail messages.


You can delete one or more messages by long-pressing them and tapping    on the top-right.

 

New Text and New Fax


Tapping    at the bottom-right corner of the messages screen will show the options to Send a (new) Text Message or Send a (new) Fax



Sending a New Text Message


The text message will be delivered from your Telebroad business SMS number (646-699-1360 in the example shown here) and not from your Android phone number.


If you have more than one Business SMS number select the one to send messages from in the TeleConsole's general settings or simply by tapping the number at the top of the conversation screen.


If you don't have a business SMS number speak to your administrator or to Telebroad's support to set one up.


Enter the name or number of a recipient's mobile or text compatible number (such as a business or VoiP SMS). As you type,  matching entries from your company or personal contacts will be shown. Select the one you want. If the contact has more than one number, when you select the contact, all the numbers will be displayed at the bottom of the screen. 



If you type a valid number that is not in your address book you need to tap    on your virtual keyboard (or Return or Enter if you have a physical keyboard paired with your device) to proceed.


Enter your text message in the text field and tap   to send it.

If your phone supports it, you can also tap the microphone icon and dictate the message instead of typing it.


Tap   and select to either Choose an Image from your device or Take a Photo with the camera of your device. The camera options may change depending on your Android version and configuration and installed apps.

The picture you choose or take will appear as a thumbnail. You can tap on the thumbnail to remove the picture or tap   again to replace it with a different picture (only one picture can be sent at a time).



You can insert emojis to a message directly from your virtual keyboard. Android on-screen keyboards varies from one mobile device to another and additional ones can be installed. Shown here are examples of how to access emojis from three different keyboards.


Example 1 (samsung keyboard) - you need to tap the key on the top-left to switch from word-suggestion mode to the keyboard's option and then select the emoji icon.


Example 2 - you need to long-press the key to the left of the space bar (which usually has a microphone icon on it) then tap the emoji icon. After you select an emoji the key next to the space bar will provide direct access to emoji. Long-press it again and select a different shortcut if you prefer.


Example 3 - you need to tap the key that switches the keyboard to numbers and symbols then tap the emoji icon. 



Sending a New Fax


A  fax number must be active on your account to be able to send faxes, otherwise an error message will prompt you to contact Telebroad support. You can manage your fax lines in the TeleConsole's channels settings.


The fax will be delivered with the caller ID applied to it as indicated at the top of the screen (347-436-7740 in the example shown here). This number is different than your actual eFax line. You can tap the caller ID to change it and select a different outgoing fax number from the available list.



Enter a recipient's name or phone number (the recipient's fax number can be associated with a physical fax machine or a virtual "device" like the TeleConsole). As you type, matching entries from your company or personal contacts will be shown. Select the one you want. If the contact has more than one number, when you select the contact, all the numbers will be displayed at the bottom of the screen. 



If you type a valid number that is not in your address book you need to tap   on your virtual keyboard (or Return or Enter if you have a physical keyboard paired with your device) to proceed.


Select the document to fax by tapping Attach PDF Document or Attach an image. All your available storage or image locations will be displayed. You can also Take a Photo of a printed document.

If the Internal storage is not shown tap Recent and then select Show internal storage from the menu on the top-right corner or, if you have one installed, try using a different file manager app.



When attaching an image you can crop it by dragging around the corner blue discs before tapping SELECT.


 

The PDF or picture you took or selected will show under File Selected. Tap   to remove it or select a different picture or PDF to replace it (only one file can be sent at a time). Tap SEND FAX to send the selected file. 



The Voicemail Message Screen


Voicemails are marked by the tape icon .


Tap any voicemail message to open a screen where you can listen to it. The screen shows the mailbox where the voicemail was recorded to, the name and caller ID of the caller (if available), and the date and time the voicemail was left.


Note that the appearance of the screen may be a bit different depending on the physical size of the screen of your device. For a smaller screen (as shown in the sample diagram) more options will be accessible from the menu on the top-right corner (), while for a larger screen more options will appear as buttons.



Regardless of appearance, the options have the same functionality. 



  • Tap   to play or pause the message. You can also drag the play pointer () around to skip or replay portions of the message.

    An additional way to control the playback of the message is from the Player Controls notification. It allows you to to allow you to pause, fast forward, or rewind a message.By default it appears in the notifications drawer when you start playing a message. You can configure it to appear on the screen as a pop-up from the Android notifications settings.



  • Tap   to switch the speaker of your device on and off.

  • Tap   to delete the message. You will be prompted to approve the deletion.

  • To call the person who left the message using his caller ID information tap  . See the Making Calls and Call Screen Options guide for more information about usage.
  • Tap    to send a text message to the person who left you the voicemail. His phone number will be automatically inserted in the recipient field.

  • Tap    to add (create) a new contact using the phone number of the person who left the voicemail automatically populated in the relevant fields. If the person already exists in your contacts you will see the option to see his details(View Contact) instead.

    When adding a new contact you need to choose the type/location of the contact. Select Android Device to create a new personal private contact on your device (you can further choose to save it locally on your device or to the address book of one of the accounts registered on it such as your Google account), Telebroad Cloud to create a new personal business contact or Add To Existing to add it to an existing contact.

    Note that if you are holding your device in landscape orientation the type/location choices may not show properly. Either swipe them upward into view or rotate your device to portrait.



  • Tap Share to share (or download) an MP3 file attachment of the voicemail. The sharing/downloading options displayed depend on your Android system setup and installed apps. You can drag the list up and down to see more options. Google native apps (such Gmail or Drive) should always be available. After selecting an app tap JUST ONCE or ALWAYS.

    If you select JUST ONCE the list of sharing options will display the next time you share a voicemail.

    If you select ALWAYS any future voicemail will be shared with the option you just selected without the list being available. If you want to select a new sharing option go to your Android settings and select Apps > [the app you have selected to Always share with. For example "Gmail"] > Open by default>CLEAR DEFAULTS (under the Other defaults category.)

The Text (SMS/MMS) Screen


Text messages are marked by the speech bubble icon .


Tap any text message to open a screen where you can see and continue a conversation with a contact.  Enter a response in the text field at bottom of the screen and tap    to send it.

You can change the SMS line you are using for the message(If you have more than one SMS line) at any time from the drop-down menu at the top (where it says "With (646) 699-1371" in the example below). Doing so, however, may split the conversation between the different lines at the recipient's end!

  Also, if you change the line it will also affect the content of the conversations and only messages delivered to the selected line will be shown at any given time! Select a different line if a conversation appears to be missing some messages.

Tap    take and select to either Choose an Image from your device or Take a Photo with the the camera of your device. The camera options may change depending on your Android version and configuration and installed apps.The picture you choose or take will appear as a thumbnail. You can tap    on the thumbnail to remove the picture or tap    again to replace it with a different picture (only one picture can be sent at a time).


You can call the person who you are conversing with by tapping  .


Tap    to access more options:

  • Tap Add to Contacts and select the type/location of the contact. Select Android Device to create a new personal private contact on your device (you can further choose to save it locally on your device or to the address book of one of the accounts registered on it such as your Google account), Telebroad Cloud to create a new personal business contact or Add To Existing to add it to an existing contact.

    If the person already exists in your contacts you will see the option to see his details(View Contact) instead.

  • Tap Delete to delete the entire conversation.


You can also delete single or multiple messages inside the conversation. Long press the first message and select additional messages by tapping them. Tap    to delete the selected messages.



If you select only one message you also have the option to copy it by tapping  .



Long-press in any input field (a message field or a contact field for example) and tap PASTE to paste the copied message. 



If a message contains images you can select an image and tap    to download it to your device or tap     to share it to other contacts or apps. The sharing choices depend on the apps installed on your device and their configuration.


The eFax Screen

Faxes are marked by the document icon . Tap a fax message to open a screen where you can see the fax and its related options. Faxes are shown for both faxes you sent and received (the later will often be black and white.) If the fax is longer than one page you can swipe to scroll it up or down.


Tap    on the top-right corner to display the following options:


  • Select Forward fax to open the Send Fax screen with the fax attached to it as a PDF file. You can choose to replace the file with another PDF or or images before forwarding the fax.

  • Tap Add to Contacts and select the type/location of the contact. Select Android Device to create a new personal private contact on your device (you can further choose to save it locally on your device or to the address book of one of the accounts registered on it such as your Google account), Telebroad Cloud to create a new personal business contact or Add To Existing to add it to an existing contact.

    If the person already exists in your contacts you will see the option to see his details(View Contact) instead.


  • Tap Share to share (or download) a PDF file of the fax. The sharing/downloading options displayed depend on your Android system setup and installed apps. Google native apps (such Gmail or Drive) should always be available. After selecting an app tap JUST ONCE or ALWAYS.

    If you select JUST ONCE the list of sharing options will display the next time you share a fax.

    If you select ALWAYS any future fax will be shared with the option you just selected (without the sharing list being available.)   • Tap Delete  to delete the entire fax message.
