Users & Phones (Admin Center)


Usage and Viewing Existing Users


On the Users & Phones page, you can create and manage phone system users, their phone lines, and physical phones associated with their accounts.


Access it from Admin Center Menu>Users & Phones.


The page shows the extensions (Ext.), Email/Username, Role, and Registration Status of users. The latter indicates if the user is logged in on any device (a physical phone or a TeleConsole app). Hovering your mouse over a status disc shows the number of devices registered to the user. 


 Clicking   on the Starred column will add a user to the home page Starred Features panel for fast access.   


 You can check one or more users and select    to delete them. Because a user account is associated with several features, to complete the deletion you would need to either enter your password or reassign the features to another user. Select  next to each feature in the deletion prompt to directly access and reassign it.



You can click the username or email fields to copy them. Clicking any other field will open the user's settings page.



Click   to download a users CSV file with the user's system ID, First Name, Last Name, Extensions, Role Code (1 for account owner, 2 for basic user, 5 for restricted user, 6 for inactive user, and other 3-digit numbers for additional roles you created) and Role Description, User Name, and Registration Status (1 for registered, 0 for not.)


Select   to search users by name, user name, system ID, or role code for non-system roles (that is not for codes 1, 2, 5, or 6).


Sorting Users


By default, users are displayed alphabetically. You can click or tap the Role, Username, or Registered Status columns to sort accordingly in ascending (up arrow) or descending (down arrow) order.



Adding a New User


When adding (purchasing) a new user license to your account, you will be billed for the additional user at the same rate as your existing users. The billing will be effective immediately.


Select ADD USER to create a new user and fill in the new user's First Name, Last Name, and Email


The user's email is automatically entered as their Username but you can input any other name if you wish.


The system will automatically generate several parameters for the user:


  • A random Password. Use it or enter one of your choice. Select to see the password,

  • A new extension. Delete the extension number if you don't need the user to have an extension.

  • A new mailbox. Delete the mailbox number if you don't need the user to have a mailbox.

    The system will use the new extension number for the mailbox, but you can change it to any number you wish. A common practice is to assign the user's line number to the mailbox. You can find the line number after creating the user under their Lines & Devices settings.
  • A random mailbox PIN. Use it or enter one of your choice. Select to see it.

  • You need to select a Role to set the user's Admin Center access privileges. New roles can be created at Admin Center Menu>Account>User roles & privileges, or you can just use one of the existing Admin Center system roles:

    • Account Owner – the user gets administrator-level access to all the features, options, and phone lines, as well as the ability to manage all other users.

    • Basic User – the user can only access the Users & Phones options to manage and modify their own phone lines.

    • Restricted User – the user cannot access the Admin Center but can access the TeleConsole.

    • Inactive User – the user cannot access any Telebroad accounts and services.

You can check the box to send the user a welcome email with their login credentials. Select PURCHASE USER and confirm the prompt to complete the user addition.



Users & Phones Settings


Select any user or create a new one to show its settings screen. There are six expandable settings categories. When making changes you need to make sure to SAVE each category separately.


On the top-right you can use the arrows to select the next or previous user without having to go back to the users list. You can also click the star icon to add the user to the to the Starred Features panel on the Admin Center home Page for fast access.   



User Profile


You will find and modify the same details here as in the user's profile on the TeleConsole (TeleConsole>Account>Edit Profile. See more details here). A user's profile picture can only be uploaded or changed from the TeleConsole.

  • First Name/Last Name: Self-Explanatory, but do note that if the user's name changes you may need to update their name in their phone line(s) description (under General Info of their line's setting) and the description of their mailbox(s).

  • Email/Username: When you create a new user their email will be automatically copied and used as the user name, but you can enter a different user name, which might offer extra security.

  • Role: There are four system roles to choose from (see details above.) New roles can be created at Admin Center Menu>Account>User roles & privileges.

  • Time zone: It is common to select the company/phone system Default time zone (configured in Admin Center Menu>Account>Account Settings), but you can select a specific time zone if the user requires so.

  • Company/Mobile phone number: Self-Explanatory. For the mobile phone number you can enter the user's own personal number, their Telebroad business SMS line, or their Telebroad UNI-Mobile number.

  • Change Password/Confirm Password: Enter a new password and confirm it for the user in both fields. Leave these blank if you do not wish to change the user's password.

    The user's password applies to both the Admin Center and the TeleConsole. If you do change the password, the user will be immediately signed out of both. You may want to notify him about this beforehand. The desktop TeleConsole's Direct Chat feature is a convenient way to do this.

  • Activate two-factor authentication: When enabled, a second security layer prompts the user to provide an authentication code emailed to them after entering their Telebroad account login credentials. Users can select to receive the code on any of their Telebroad accounts emails. The code is valid for at least 15 minutes and can be used to sign in to both the Admin Center and the TeleConsole.

    Two-factor authentication can also be enabled globally for all users by going to Account>Account Security.


  • Require login with Google or Microsoft account: When enabled the user is required to use a Google or Microsoft account to sign in to the Admin Center or TeleConsole instead of their Telebroad account.

    This can also be enabled globally for all users by going to Account>Account Security.



Extensions


Extensions are short, typically 3-5 digit, numbers assigned to users to make it easier and quicker for other users to call them or for external callers to reach them. Extensions also offer more flexibility when you build a phone system because you can change a user's phone line while keeping the same extension.


Select  to edit an existing extension or   to  delete it. 


Extensions can also be created and managed by going to Admin Center Menu>Voice Features>ExtensionsLearn more about extensions here.


  Note that if you change the user in the extension's General Setting the extension will seem to have disappeared. You will need to find it by going to the new user to whom you assigned the extension or by going to Voice Features>Extensions.


Adding an Extension


Select ADD EXT. to create a new extension for the user. Enter the Extension number and select a Destination Type and a Destination where the extension will route calls. You would normally route calls to the user's phone line, but you can select any other type of destination or feature (see the full list here) like a mailbox, hunt group, and even another extension. 


Select CREATE to finish adding the extension. You will now be able to edit and modify the extension's settings.


Direct Phone Numbers


Telebroad's phone system is a cloud-based PBX, meaning users are initially only assigned an internal phone line or extension. Inside the company, users can reach each other by dialing these lines or extensions. But for outside callers to reach users, they need to first dial the company's main number and enter the required line or extension (or use the dial-by-name feature.)


A direct phone number lets outside callers reach users faster and more conveniently using a standard ten-digit personal phone number. The feature is also called Direct Inbound Dialing and it can be used for setting up users with fax or SMS numbers.


Creating and Assigning Direct Numbers


To assign direct numbers you need to go to Admin Center Menu>Phone Numbers. Select the number and select the desired user under the General Settings. 



New phone numbers can also be bought or ported from the Phone Numbers screen. This is further discussed here.


Lines & Devices


Here you can manage a user's internal phone line(s) and any physical phones connected to it. 


Select to edit an existing line and access six expandable line/device settings categories.


Lines & Devices are a part of the users' features, but as to not overcomplicate the article you are currently reading, they are discussed in this separate article.


Voicemails


Here you can manage users' voicemails and mailboxes. 


Mailboxes can also be created and managed by going to Admin Center Menu>Voice Features>Mailboxes. Select a user on that screen and the Messages tab to listen to and manage their voicemail messages. Learn more about mailboxes here.


Creating a new Mailbox


Select ADD MAILBOX to create a new mailbox for the user. Enter a Mailbox number (minimum two characters) and enter and confirm a PIN (minimum 4 characters). The Personal Identification Number protects the mailbox from unauthorized access.


It is a common practice to use the same number as the user's internal line number for the mailbox number. But you can use any number, especially if the user has several mailboxes.


Select CREATE to complete the mailbox addition. You will now be able edit and modify the mailbox's settings.
