Faxes – Sending, Status, Content, and Options


Select on the left panel to access the fax screen. The screen is divided into two areas – one showing existing faxes (sent or received) and their statuses and one for viewing fax content and related options or to send a new fax.


If you are not able to see or receive faxes check the eFax Channels MANAGE FAX ACCOUNTS option in the TeleConsole's settings and ensure that at least one of your fax channels is active!


Sending a New Fax


Send a new fax by clicking  .


Entering Contacts and Selecting Caller ID


Enter a contact's name or number in the To: field at the top. A fax can be sent to one or multiple contacts. Matching results, for both company and personal contacts, will be suggested. Select the desired one(s). Make sure to select a number that can accept faxes!

If a contact has more than one phone number all will be available for selection. Again, make sure to select the fax-specific number.



The name or number of recipients that you faxed recently appears under the RECENTLY SENT listClick the name or number to add it to the To: field. Click    to add the number as a new contact to your list of contacts (if the contact already exists, clicking the button will open his details instead.) To remove an item from the RECENTLY SENT list, hover your mouse over it and select 


Note that the RECENTLY SENT contacts list is specific to the fax screen. The keypad and messages screens have their own separate "Recent Contacts" list! Also, the list is only available locally on the device and is not available on other devices you use with your account.

You can select a different caller ID for your fax line by clicking the From: drop-down menu. The default number appearing here is selected in the Default Fax Number settings.

Cover Page


To select or remove the cover page of the fax click the Cover page: drop-down menu. Presently you can only select No cover or Default fax cover page. But if you need a costume cover page you can email us with the design and logo and we will add it to your account.

After selecting a cover page enter the relevant information in the First and last name, Company / Department, and Cover page note.

You can click    to see the design of the selected cover page. The default Telebroad design looks like this

Attaching Files


Drag and drop the file(s) you want to fax from another window to the Attach file box or click the box to open a navigation window and select the relevant file. You can fax text files, PDFs, or picture files. You can attach other kinds of files (even sound files), but sending them will result in a "Fax sent failed" error.

You can select multiple files up to a 20MB total limit (an individual file size should also not exceed this limit.) If you want to remove a selected file click    on its thumbnail.

Click SEND to fax the file(s) or CANCEL to exit.


Fax Status


A fax status is indicated in the existing faxes area together with the number of pages sent or received. 


There are three possible statuses for sent faxes. When sending a fax, its status will initially show as "Fax sending" while it is being processed. Once the fax has been sent it will either show as "Fax sent successful" or "Fax sent failed".  


Usually, a fax fails to send because it was not sent to a number that cannot accept faxes. On rare occasions, it is also possible the Telebroad fax server is down. You can see the status of the server here

You can try to resend a failed fax from the fax options (see below.)


Received faxes have only one status and are shown as – "Fax received".


For sent faxes you will also get an email with the status of the fax and some additional details.



Fax Content and Filtering


From the list of existing faxes, select any fax to show its content. 


Faxes you received are shown as black and white images while faxes you sent are shown in color. For received faxes, you will see the sender's and recipient's (your) phone numbers at the top of the fax document.  


Click    to filter the type of faxes shown – All Faxes, Sent Faxes, Received Faxes, or Failed Faxes. If you can't find a specific fax make sure it is not being filtered out by your selection here. You can always select All Faxes or use the global search feature to find it.

Failed faxes are faxes that failed to deliver due to the recipient's phone number not being able to receive faxes, his fax line is not physically connected, or his line not available. You can resend a failed fax from the fax options (see next.)

On some rare occasions, a fax will fail to send because of a problem with the Telebroad server. You can check the status of the server here.



Fax Options


When you select a fax, the following options are available for it on the top-right corner of the screen:

  • Select    to place a call to the other party who sent you the fax or received it from you. The dial pad screen will open with the other party's number automatically inserted in the call recipient's field.

  • Select    to print the fax using the system's standard printing prompt.

  • Select    for contact options 

    • If the person who faxed you already exists in your contacts, this will open his details in the contacts screen.

    • If the person does not exist in your contacts, you will get the option to Create new contact with his number or Add (his number) to existing contact. See more about creating new contacts here.

  • Select   for additional menu options –

    • Select    to resend the fax. This option only shows for failed faxes.

      When selected, the fax will not be resent instantly. Instead, the fax sending screen will show all of the existing contact details and attachments to let you make changes (like fixing the phone number) first.

    • Select    to forward the fax – fax it to another contact. The fax sending screen will open with the forwarded fax already attached to it as a PDF file. You just need to enter the contact information and you can attach additional files.

    • Select    to download a copy of the fax as a PDF to your local or network drive.

      By default, the file will be saved in your Downloads folder, but you will be prompted to select the download location and you can also change the file name before saving it.
       
    • Select    to delete the fax transmission and select DELETE when prompted to approve the deletion.
