Fax History Report (Admin Center)


Usage and Access


The Fax History report lists details about received or sent faxes for all users and all fax lines in a date range you specify. You can view faxes directly on the report page. Faxes can be sorted and filtered by different parameters. Fax history records cannot be deleted!


Access the report by going to Admin Center Menu>Reports>Fax History


Note that the search function () is limited to finding phone numbers. To look for extensions or users use the relevant filters instead.


Date Range


Clicking the Date range field will let you select a predefined date range – Today, Yesterday, Last Week, etc.

You can also select a custom date range and manually enter or modify the date or click to pick start and end dates from a calendar. Use the arrows () to change the month. Click the month to change the year.



Managing Columns and Sorting


Data Columns


The report has seven data columns with details about each fax. An eight column has a button to show the content of the fax. 


Click   to manage the columns and check or uncheck the ones you want to show or hide. Select Reset to display all the columns (the default option).



The available data columns are:


  • User: The name and extension of the user who sent the fax. If the user was the recipient this will be this will say "Incoming fax".

  • Phone Number: The phone number (or the caller ID assigned to it) of the user who sent or received the fax.

  • Direction: This column shows for incoming fax (received by the user) or for outgoing fax (sent by the user).

  • Sender/Recipient: For outgoing faxes (from users) the phone number of the intended fax recipient is shown. For incoming faxes (from external contacts) the phone number of the fax sender is shown.

  • Time: The time and date the message was sent or received.

  • Status: Indicates if a fax sent by a user was delivered or not ("Success", "Failed", or "Fax line busy"). For incoming faxes this will always say "Success".

  • Pages: If there is a cover page, it is also counted in the number of pages.
     
  • Fax: Click to open a preview window showing the content of the fax, including a cover page. For failed faxes, this may show the fax content or display an error message. You can click anywhere in the window to display a download button (). Click anywhere outside the window to close it.


Sorting Columns


You can sort the report by the values of any column except for the fax column.


Click a column once to sort it in ascending order () and click it again to sort it in descending order (). When applicable, the system will display the results in chronological order.



Filters


The filter toolbar can be shown or hidden with the   button. You can activate one or several filters to narrow down and refine the report results.


If the filter bar is hidden, the filter button will appear with a green dot (), when filters are applied, to remind you some report data is being filtered out.


Click a filter to display its drop-down list, check one or more filter items, and click Apply. You can also click anywhere on the screen outside the filter to apply your choices. Select on the title of an active filter or Clear to clear your selections or remove all filters by selecting Clear all.


Active filters display the first item you selected. That makes them wider and, on smaller screens, you may need to use the right or left arrows on each side of the filter toolbar to see filters that were shifted off-screen.




The available filters are:

  • Phone numbersSelect system phone number(s), to show report results for.
  • Users: Select system users to show report results for.

      It is possible to assign the same fax line to different users, therefore filtering by Phone number or Users may not necessarily produce the same results.
  • Direction: Select to show either Incoming or Outgoing faxes.
  • Time of day: Use the two sliders or the Start/End drop-down menus to select an hour range to show report results for. Selections can be made with 15-minute intervals.



    • Day of month/Day of week/Month of year: Use the button (additional filters) to access these three filters and select days or months within the time range to show report results for.
