Contacts (Admin Center SMS Features)


Usage and Access


The Contacts page is where you create, update, upload, and maintain lists of recipients to be used with the Telebroad Campaigns feature. It is accessed from the side navigation menu under SMS Features>Contacts. 


Existing contacts are listed by Phone Number (a mandatory field), Name, Org (organization or company), Role in the organization or company, Tags (see next), and a Custom ID.


You can delete contacts by checking them and clicking  , but be aware that this cannot be undone. 


Click  on the top-right to download a CSV file of existing contacts. You can duplicate this file and use it as a template to upload new contacts


Tags


Tags allow you to organize your contacts by groups or categories. Examples include tags to identify a campaign's lead source or referring agency, state or geographical location, industry, responsible agent or product manager, etc.


You can also create a tag category to recognize and group customers who opted out of receiving SMS messages.


Filtering by Tags


Use the Tags drop-down menu to filter your list of contacts and display only contacts assigned to the checked tags. You can also filter by Contacts with no tag.

Note that if you select multiple tags, you will not see contacts with any of the checked tags but only contacts assigned to all the checked tags, as shown in the following figure.



Managing Tags


Manage your tags by clicking the Tags menu and selecting Manage tags, where you can delete () or rename () your existing tags.


When you add a New tag, you just need to provide its name. You can also create new tags by clicking in the Tags field when editing or creating a contact. 



Assigning Tags 


You can assign tags, one at a time, to a contact by checking the contact and clicking  (Assign tag). Similarly, you can remove a contact's tags, one at a time, with  (Unassign tag).
 


To assign and unassign multiple tags, select the contact and check or uncheck the available tags from the Tags drop-down menu.



Adding Contacts


Add new contacts manually by selecting NEW CONTACT or import contacts by clicking and selecting Upload CSV. Supported upload file formats include CSV, TSV, XLS, and XLSX.


  When manually creating or editing a contact, the system will prompt with an error message for duplicate contacts with the same phone numbers or custom ID.

However, if you upload a duplicate contact, it may overwrite the existing contact details unless you remap it (see next). Contact details that are overwritten cannot be recovered.



Uploading and Remapping Contacts


An uploaded contacts file is expected to have certain columns that follow the contact card format, but you can remap columns to ensure they are uploaded correctly. To see the required columns, download the empty template (shown in the figure) from the upload prompt or by exporting your contacts. 



The Tags column can accept multiple comma-separated items. Phone numbers are mandatory and have to follow a ten-digit format. Do not use any hyphens or other symbols.



After selecting Upload CSV, click Continue to open the Upload window, where you can see a list of expected columns. Drag your file to the over or click Browse files and navigate to it.  



The system will automatically match columns from your file by their headings. If it doesn't find a match, it will let you fix this manually by selecting the correct Destination column.

In the following example, you can see that the uploaded file has a "Mobile" column containing phone numbers. The system cannot match it automatically, but you can use the drop-down list to map it to the "Phone Number" column. 


You can uncheck any of the Include boxes for columns you don't want to upload data from. This is useful for avoiding overwriting existing data in case the file contains duplicates (existing phone numbers or custom IDs). In the example, the Note column is unchecked as a precaution to avoid overwriting any existing notes.


Contact Card Fields


Select a contact or create a new contact to see their contact card.


Because contacts are used for SMS campaigns, only the Phone Number field is obligatory. Naturally, this needs to be a mobile-compatible number and not a landline.


The First Name, Last Name, Role, and Organization are self-explanatory. Tags are discussed above. In the Note field, you can enter information that doesn't fit in the other fields.


Contact Attributes


In the attribute fields, you can enter any contact details, features, or characteristics to better define the recipient and offer them more personalized messages using placeholders.


For example, a software company can use attribute fields to track the type of software and subscription that its clients purchased. Then it can deliver personalized messages about software updates or promotions based on the subscription level.
